Information we collect

When you submit a complaint we collect the information you provide in the intake form: your name, email address, and phone number (unless you choose to remain anonymous), the employer name, work location, city, county, supervisor or manager name, HR contact, your job title, and employment status.

We also collect the complaint categories you select, the incident date, whether the situation is ongoing, the people involved, any witnesses, and the written description you provide.

You may attach photographs, screenshots, PDF documents, email files, and other documents. We collect the file name, size, and type. Attachment contents are only retained if you choose to submit them.

Information we do not collect

We do not collect social security numbers, financial account information, medical records, immigration status, or any information you choose not to provide. Please do not include such information in your written description or attachments.

We do not collect browsing analytics, advertising identifiers, or third-party tracking cookies.

How information is used

Information you submit is used to create and maintain a case file, to organise your documentation, to determine the current stage of your complaint, and — where relevant — to point you toward outside organizations that may be able to assist you.

Information is never sold, rented, or shared for marketing purposes. We do not share your information with your employer.

Anonymity

Selecting “Remain Anonymous” makes identifying information optional. Anonymous complaints are tracked by case number only, and no attempt will be made to contact you.

Because an anonymous complaint cannot be verified, we may not be able to request clarification or follow up on a specific question.

Access and security

Complaint records are intended to be accessible only to authorised NCWA case reviewers handling intake.

This website is currently a frontend prototype. Records submitted through it are stored unencrypted in your own web browser, and the demonstration access control can be bypassed by anyone with browser developer tools. No real confidential employee information should be submitted to this build.

Retention

We retain case files for as long as necessary to support the complaint and to provide the resources relevant to it. Closed files are archived rather than deleted immediately.

Because this prototype stores everything in your browser, clearing your browser data deletes your records permanently. There is no server-side copy and no backup.

Your choices

You may choose not to provide optional information. You may submit anonymously. You may check the status of your case at any time using your case number.

To request a copy of the information associated with your case, or to ask for a correction, contact intake@ncwa-advocates.org and include your case number.
